Appointment enquiry privacy.

Draft for review — not a final privacy notice. Proposed mailbox access and retention arrangements below have not yet been verified or implemented.

Privacy contact

The proposed privacy contact for APC Ltd is Justin Duwe at justinduwe@hotmail.fr. Please use this address for questions about enquiry handling or requests concerning your information, without sending further clinical detail unnecessarily.

What you share

APC uses your name, email, appointment format, country of residence and current country, and your US state where required, to review your enquiry, check professional jurisdiction and reply to you. Your explanation of why you are seeking therapy, availability and additional comments are optional. Please avoid detailed clinical histories or information about other people. Enquiry handling is for assessing and responding to your request, not for marketing.

How your enquiry reaches the practice

Your enquiry is sent over an encrypted connection to this website. The website attempts to email a separate notification to each of the two clinic inboxes currently designated by Justin Duwe. Lovable’s managed email service and the clinic’s Microsoft and Google email providers process those messages. No identifiable appointment enquiry is saved in a website enquiry database, and the form is not saved as a browser draft. Email messages and provider records may be retained separately; their retention arrangements still require confirmation.

The website currently shows a successful submission when the email service accepts at least one clinic notification. This does not confirm arrival in both inboxes or an appointment. If neither notification is accepted, an error is shown and your completed form stays on the open page so you can retry. Closing or refreshing the page loses that unsaved form.

I aim to reply within two working days. Please check your spam folder as well as your inbox.

Proposed access restrictions

The proposed clinic policy is that access to clinical enquiries is restricted to Justin Duwe and any specifically authorised clinic administrator. Actual mailbox permissions, delegation, forwarding and connected-account access have not yet been confirmed, so this notice does not claim those restrictions are currently verified. Email and hosting providers also process information to provide their services.

Proposed retention and deletion

APC proposes a 90-day retention period for enquiries that do not result in treatment, subject to applicable legal and professional requirements. The date from which that period runs, the deletion procedure and the treatment of mailbox copies, deleted items and provider backups remain to be confirmed. This is not a statement of current mailbox practice, and no automatic deletion has been implemented. Separate retention arrangements would be needed for enquiries that become treatment records.

Anonymous conversion measurement

The appointment conversion counter stores only daily totals of appointment-button clicks, form starts, validation failures and submission outcomes. It does not store your name, email, clinical answers, typed text, browsing address, IP address or a visitor identifier, and uses no tracking cookies or session replay. Counts older than 90 days are removed when the next event is recorded. These totals are indicators, not counts of unique people. Successful submission counts mean the email service accepted at least one clinic notification, not that an appointment is confirmed.

Separate hosting analytics and technical logs

The hosting platform also supplies website analytics and technical logs, separate from the conversion counter. The counter’s privacy limits do not establish what those other systems collect. Hosting analytics reports visits, pages, referral sources, country and device categories. Whether hosting analytics or infrastructure logs collect or retain IP addresses, full URLs or query strings, user-agent details or other identifiable information has not been confirmed for this website. Their access and retention arrangements remain under review; this notice does not claim those services have been disabled. Application appointment-failure diagnostics use fixed messages rather than enquiry contents.

Legal basis, rights, transfers and complaints — pending review

The applicable data-protection requirements and actual processing arrangements have not yet been established sufficiently to finalise this section. Before publication, APC must confirm the lawful basis for responding to enquiries and any additional condition required for health, sex-life or other sensitive information; the rights available under applicable law and how to exercise them; where providers process information and any international-transfer safeguards; and the appropriate supervisory authority and complaints procedure. This draft does not claim a particular lawful basis, transfer safeguard or regulatory approval. You can raise privacy questions with the proposed contact above while these matters are reviewed.
